Surplus for DGH Items Deployed Internationally
Based on guidance from the Surplus office, items that are deployed internationally may be surplussed without bringing them back to Seattle, following the guidance and conditions below. Please contact dghit@uw.edu before making any decisions about these items.
Computers or Devices that Contain UW Data
Computers that are used by DGH staff and faculty are registered in our inventory, so before proceeding, please email dghit@uw.edu to let us know what you need to dispose of. Due to the liability issues surrounding computer disposal with regard to data destruction and the environmental impacts, the following process MUST be followed: - The custodian (i.e., the assigned user for the computer) is responsible for either purging all data from the hard drives prior to disposal running a binary overwrite using a certified erasure software that meets the federal government standard or must physically destroy the hard drive. Support for this process is available from DGH IT.
- All UW inventory tags must be removed from the equipment prior to disposal.
- The preferred methods of disposal are:
- Donate the equipment to a local school or charitable organization, or
- Recycle the equipment through a vendor that practices “proper recycling”, i.e. using materials and extracting valuable materials in order to divert them from the waste stream and materials are not disposed of overseas.
- If donation or recycling is not an option, it is important to follow the solid waste regulations for the area in which it is located.
- If the custodian is unable to follow the process above, the equipment MUST be returned to the UW campus for proper disposal.
Inventorial items
Items that have a white UW inventory sticker on them are registered with the UW Inventory Office and a request must be made to UW Surplus prior to their disposal if they are not going to be returned to Seattle. DGH can coordinate with the Surplus Office in order to manage this process.
Disposing of Other Non-Data Storing Equipment
For items that do not contain any UW data, such as (monitors, mice, keyboards, docking stations, or furniture), please send an email to DGH IT about the items.
